Where Luxury and Art Unite

How does the booking process work?

Step 1: Discover
Select your preferred retreat.

Step 2: Make a reservation
A deposit is required to secure your place. Your payment method will be charged once you check out. The deposit will be your guarantee that you booked a room.  Once the retreat
becomes guaranteed (when minimum attendees are signed up), you will be invoiced for the outstanding amount. If you signed up for a payment plan, you will receive invoices according to the payment plan.


Step 3: Instant confirmation
Your reservation will be confirmed instantly.

Once the retreat becomes guaranteed, Workshops in SA will invoice the guests for the cost of the retreat. 

If, for any reason, the retreat is not guaranteed, we will never charge you, and we will contact you to offer options.

If you book an already guaranteed retreat, full payment is due when booking.

Alternatively, suppose you’re interested in one of our experiences but have a couple of questions for us before booking. In that case, you can submit an inquiry at any time, and we will get back to you with the information you requested within 24 hours.

What is a guaranteed retreat?

A retreat becomes guaranteed once the minimum group size has been met.


With guaranteed retreats:

  • there is no cancellation

  • there are no changes in itinerary, schedule, instructor, venue or dates

  • it is deemed medically safe by local, state or European authorities

What happens if a retreat becomes not guaranteed?

Retreat Reservation and Minimum Group Size:

  • Retreats are secured through a deposit and are guaranteed once the minimum group size is met.

  • The retreat will be cancelled if the minimum group size is not met. Participants will be promptly informed, and no charges will be incurred.

Refund Process:

  • Deposits will be returned to the same credit card used during the reservation process.

  • Any fees associated with credit card transactions will not be reimbursed.

Additional Costs and Travel Expenses:

  • Participants are advised that any travel costs incurred will not be reimbursed in the event of retreat cancellation.

Travel Insurance:

  • It is strongly recommended that participants acquire travel insurance to safeguard against unforeseen circumstances that might lead to retreat cancellation or changes in travel arrangements.

What Payment Methods do we use?

We use Stripe to make payments convenient, safe and secure. You can pay via credit card (VISA, Mastercard, American Express, Discovery Card). All prices are in US dollars.

How will I know when my reservation is confirmed?

You will receive an email once your reservation has been confirmed. All Workshops in SA retreats offer instant booking confirmation.

Can I pay in instalments?

Absolutely. If the instalment option is not already visible on the checkout page, contact us to arrange a personal plan for you.

What happens if I need to cancel?

Once the retreat is guaranteed, all payments are final and nonrefundable. Bookings are nonrefundable under any circumstances. Participants must purchase travel, medical, and cancellation insurance for protection against any circumstances requiring cancellation or change of travel arrangements. Please review our cancellation policy.

Can I transfer my payment to a different retreat?

While we understand that unexpected situations may arise, our nonrefundable cancellation policy extends to any modifications or changes made to your booking. No refunds or credits will be issued for adjustments once a booking is confirmed and payment is made.

Will I receive a full refund if a guaranteed retreat is cancelled by Workshops in SA?

Guaranteed Retreat Cancellation and Refunds:

  • Participants will be promptly notified if Workshops cancel a guaranteed retreat in SA due to force majeure events or circumstances beyond our control.

Refund Procedure:

  • While every effort will be made to inform participants as soon as possible, please note that Workshops in SA will not be held accountable for chargebacks. It is advisable to ensure your travel insurance comprehensively covers such circumstances.

Reimbursement Considerations:

  • Workshops in SA commit to prompt notification regarding cancellations; however, we must recognize that chargebacks and their financial implications are not within our control.

Travel Insurance Coverage:

  • We strongly recommend ensuring that your travel insurance comprehensively covers unforeseen situations, including retreat cancellations, ensuring complete financial protection.

Do I need Travel Insurance?

Travel insurance is mandatory for all Workshops in SA travellers. Participants must purchase travel, medical, and cancellation insurance for protection against any circumstances requiring cancellation or change of travel arrangements. We strongly advise that your chosen policy provides cover against lost or delayed baggage, loss of personal belongings, trip cancellation, trip interruption, accidents, illness, injury, medical expenses, death, and emergency repatriation.

What if I get ill or injured on the trip and cannot continue?

Our partners on the ground are well-trained to deal with these situations. If you get ill or injured, they will help you quickly and ensure you have all the care you need. Your travel insurance should cover any costs incurred by illness and injury interruptions.

Can I opt out of certain activities?

Of course. If your desired retreat offers some included or optional activities you don’t want to participate in, you can opt-out and do your own thing instead. If you skip a particular activity or excursion, please note that included activities will not be reimbursed. Please let your instructor and fellow art retreat participants know you will not attend specific activities beforehand. 

Will I be safe while on safari?

Of course, ensuring the safety and security of our participants is our utmost priority. Our safari experiences are meticulously planned and conducted with a strong emphasis on safety measures. We collaborate with trusted local partners and adhere to rigorous safety protocols to provide a secure environment throughout the safari.

Our team continuously assesses and monitors the situation in the regions where our safaris occur. We make informed decisions based on up-to-date information from reliable sources to ensure the safety and well-being of all participants.

We also constantly communicate with local authorities and experts to mitigate potential risks and ensure everyone involved has a safe and enjoyable experience. Rest assured, your safety is our top concern, and we take every necessary precaution to provide a secure and enriching safari adventure.
